TERMS & CONDITIONS

Please find below our Terms and Conditions, under which we offer you to stay at Sundowner Lodge. These are designed to clearly set out the obligations of both parties to this agreement to ensure you get the most enjoyment out of your stay with us.

SUNDOWNER LODGE OFFERS

For all guests:

  • Accommodation with all bed linen (BYO Towels – no towels are provided).
  • Communal TV with DVD player. A small selection of DVD’s are available to guests.
  • Enclosed Fire place in the communal lounge area of the lodge which is available for all guests to enjoy. Due to safety regulations, and the wellbeing of yourself and other guests, we ask that should you use the fire, that at the end of the evening before going to bed, or if it is left unattended (even if you think it has completely gone out), that the glass guard is checked to be shut tight. This ensures that no embers can escape potentially causing a fire in the lodge endangering yourself or other guests. The lodge manager will check the state of the fire every evening, however if any guest misuses the fireplace, they will be held accountable.
  • Fully equipped kitchen and cooking facilities for self-catering, refrigerator, kitchen utensils (pots, pans, serving dishes, plates, cutlery etc).
  • Basic condiments (salt & pepper).

BOOKING AND PAYMENT

  • You, the guest, will pay Sundowner Lodge the agreed price for your stay as follows:
  • 100% of the total fee is due upon booking. The booking is not confirmed until payment is received.
  • Bank Transfers can be made directly to the nominated bank account of Sundowner Lodge (please see the bottom of your invoice for details).
  • Payment for bookings is deemed as acceptance of these Terms and Conditions, and once this is received, the contract between Sundowner Lodge and party named in the quotation commences.
  • Sundowner Lodge will provide full booking details by email if an email address is provided, following the receipt of the full payment. Please ensure you check all the booking details are correct when this is received as you may not be able to make any alterations at a later date.
  • Sundowner Lodge will make every effort to contact you using the details provided by you at the time of booking, for payment of the final balance. However in the event that the balance is not paid and contact is not forthcoming from the hirer we reserve the right to cancel the booking and any deposit will be forfeited.

ARRIVAL AND SECURITY DEPOSITS

When you arrive at the lodge, you will need to provide valid photographic identification (passport or driver’s license is acceptable) for security purposes. Your credit or debit card details will be retained for security. This is to cover any incidental items including (but not limited to): breakages/damages and or excessive cleaning charges above the normal level of cleaning.

Upon your departure, providing there is no damage, and that the Sundowner Lodge is left in a clean and tidy state, your credit card details will be destroyed (less any additional incidental item costs, unless alternative payment arrangements have been made).

Alternatively, Sundowner Lodge will require a security deposit amount of $200 per booking at the time of arrival. This will be refunded upon departure as long as no damage has been caused.

CANCELLATION POLICY

  • All cancellations will incur a cancellation admin fee of $50
  • All cancellations received more than 3 weeks before the start of the stay will be refunded less the above mentioned cancellation admin fee
  • All cancellations received within 3 weeks before the start of the stay will incur a 50% cancellation cost of the total price

Notwithstanding force majeure, bookings cancelled by Sundowner Lodge will result in a full refund, within seven days of notification of the event.

All cancellations must be received in writing.

FORCE MAJEURE

Sundowner Lodge does not accept any liability arising or pay compensation for:

  • Any cancellation, loss, delay or costs arising or connected with adverse weather or traffic conditions, avalanche, mud slips, slides and snow conditions and the affect that any of these may have on travel arrangements, accommodation and activities.
  • Limitations imposed by resort authorities, ski-lifts, ski school or ski- hire operators.
  • Travel arrangements made by you or on your behalf.
  • Any event which Sundowner Lodge could not foresee or avoid. Such events include war, threat of war, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions such as lack of snow, and fire.

DAMAGES

With the exception of regular wear and tear, you are responsible for any and all damage caused by any of your party. Should any damage, breakage or loss to the property, or additional cleaning exceed the value of the security deposit the guest will be liable to pay the additional value. Any breakages or damage to the property of Sundowner Lodge must be advised to a member of staff immediately.

In the event of any damage being sustained to the Sundowner Lodge during your stay, you will be notified in advance of the cost of repair/replacement, so that you have the opportunity to discuss the matter with us.

Any damages (including those not notified to Sundowner Lodge prior to departure) will be charged at cost and deducted from your credit card, unless alternative payment methods are arranged by yourself.

KEYS

Should you lose any of your keys, you must notify Sundowner Lodge immediately. A replacement charge for any lost keys will be charged at $30.00 AUD per key.

GENERAL CONDUCT

You are responsible for ensuring that you conduct yourselves in an orderly manner. Unless you have booked the Sundowner Lodge completely, other guests may be staying at the lodge at the same time. We want all our guests to have an enjoyable holiday, so we expect all guests to have consideration for others. Sundowner Lodge reserves the right to intervene if it considers that a guest’s activities are illegal, noisy or offensive, and to exclude or remove any and all persons from the premises without liability if they consider such action is necessary. Any guests and/or guests removed from the premises will forfeit the full amount paid for the booking without any further obligations from Sundowner Lodge.

To ensure the enjoyment of all the shared facilities for all guests only those listed on the booking form may use the amenities. The number of guests must not exceed the booking details under any circumstances.

SECURITY

Whilst all care is taken, Sundowner Lodge accepts no responsibility for damage to, or loss of, any guest’s property left in the lodge, or on the premises, during or after a guest’s stay. Guests are responsible for ensuring that all doors and windows are closed and locked at all times, both in the rooms and the lodge communal areas.

You are also requested not to burn candles or other naked flames in the lodge.

COMMON AREAS

For the comfort of guests and other residents noise must be kept to a minimum at all times. There cannot be any noise outside the lodge between 10pm and 6am.

SMOKING

Smoking is strictly prohibited within the confines of the Chalet, you are however welcome to smoke outside. All cigarette/cigar ends must be disposed of in the ash trays/sand boxes made available.

FOOTWEAR

Outdoor footwear is not permitted in the Lodge so please bring some appropriate indoor footwear.

ALCOHOL

No Alcohol will be provided by the Sundowner lodge or any of its staff. Guests are requested to consume alcohol sensibly, and any guest who does not comply with this request, may be asked to vacate the lodge immediately.

PETS

Pets are not permitted at the Sundowner Lodge.

CHECK IN / CHECK OUT / BOOKING PERIOD

Your stay at Sundowner Lodge commences at 3.00 p.m. on the first day of your booking period, and finishes at 10.00 a.m. on the last day of your booking period. While check-out from the rooms is at 10.00am, guests are welcome to stay in the communal lounge area while waiting for transport or other arrangements.

Should you require to leave luggage at the lodge outside of these timings, please state on your arrival and departure and we will endeavour to make arrangements.

Personal belongings left are done so at your own risk.

TRANSPORT

Please arrange for your own transport to and from the Sundowner Lodge. We are unable to transport any guest around the Village. Please be aware that according to the Mt Buller resort rules, without a valid car permit, you are not able to drive beyond the designated car parking stations as directed by Mt Buller traffic controllers. There is no available guest parking at the Sundowner Lodge 

INSURANCE

Sundowner Lodge strongly recommends that all guests arrange appropriate insurance cover for the duration of their stay, including cancellation cover, personal belongings and public liability. Insurance is not included during your stay at Sundowner Lodge.

It is the responsibility of you and all members of your party to ensure the insurance cover purchased is suitable and adequate for your particular requirements. Sundowner Lodge is in no way responsible/liable for your costs if you fail to do so.

Sundowner Lodge is not responsible for any personal injury, loss or damage to personal effects whatsoever.

Neither we, nor our representatives, can be held responsible for any circumstances beyond our control including, but not limited to, mechanical breakdown, adverse weather conditions, illness or failure of any public service supply.

Although we take all reasonable steps to ensure our facilities are secure. Sundowbner Lodge will not be liable for any loss or damage whilst on our premises.

DISPUTES / COMPLAINTS

In the very unlikely event of any disputes, we will use this document as a basis for any resolution so please read it carefully before confirming your booking, and ensure that you understand what you expect from your stay at Sundowner Lodge.
